Job Title: Sales Coordinator Belgium
Reports to: Country Manager, Benelux Region (Day to day supervision may be provided by the Business Development Manager, Belgium)
Overall Purpose: Primary responsibility for the provision of effective training and commercial coordination within OPP’s Benelux operation. Support the Business Development Manager and Country Manager to develop sales and training programmes and assist in marketing actions.
Principal Accountabilities:
- Act as the first contact for clients and prospects in Belgium as well as for internal colleagues. Attend to and answer their questions or make sure someone else takes on this responsibility.
- Point 1 needs to be performed in perfect written and verbal communication in French and Flemish/Dutch as well as in English.
- Provide an efficient training booking service, and ensuring that pre-course administration, course administration and post-course administration, venues, materials and ‘meeting and greeting’ services are all performed effectively to the highest of standards.
- Manage workshop bookings, seek confirmation of provisional bookings and acknowledge the receipt of confirmed bookings. Check delegates’ eligibility for workshops as necessary and escalate potential difficulties as appropriate.
- Send out pre-workshop materials and fieldwork materials to delegates in a timely manner. Oversee the administration of fieldwork, essays and examination marking as necessary. Create certificates as required and ensure names are correct and the certificate is signed by appropriate staff.
- Achieve quality standards set by the Country Manager Benelux Region
- Work together with OPP NL and UK in invoicing delegates for workshops and accommodation as appropriate.
- Maintain up-to-date and accurate records relating to workshop bookings.
- Liase with trainers (both OPP and external trainers) and assist with the payment of external trainers as appropriate. Arrange ‘helpers’ as necessary, by liaising with various local employment agencies. Liaise with venues and / or venue booking agency re: workshop requirements, delegate numbers, accommodation requirements etc. Check, code and pass for payment relevant invoices.
- Update the registration status of workshop delegates in a timely manner.
- Create stock orders as necessary for workshop materials. Collate all materials required on workshops and ensure that workshop materials are prepared accurately using the correct versions.
- Produce delegate list for each workshop. Ensure that delegates’ tests are returned and scored in time for their feedback (if required) and for inclusion in the workshop materials.
- Coordinate Step I, Step II and 16PF qualification courses, either in-house or public training, referring as appropriate for authorisation in the event of any requirement to amend terms or standard offerring.
- Support coordination of all marketing activities like coordination of the translation of materials, training materials and collateral for the local markets as requested, supporting exhibitions and trade fairs in the Benelux. Review French parts in marketing and sales materials if needed.
- Carry out follow-ups from qualifying trainings and other client activities such as trade fairs etc.
- Follow up of sales meetings with supply of additional literature
- Carry out other such duties as may reasonably be required, commensurate with the grade of this post.

Essential Competencies
- Experience of working within a commercial office environment, which has involved sales and customer contact via telephone.
- Experience of working in a customer service/sales environment in the Benelux area.
- Computer literate with an intermediate knowledge of Word, Excel and email
- Good detailed admin-planning and organisational skills.
- Verbal and written language skills: Fluency in English, Flemish and French essential.
